Contacts

The HQ Contacts module is the key access point for communicating with customers and suppliers and for keeping track of all interactions between your contacts and your team. Contact Information is presented in a 'business card' format for convenience and can be expanded to show a complete history of activities between the contact and anybody in your team.
Each business card has direct links to Email, SMS, the Letter writing module and the contact's entire history.

Contact Management Features

  • Add a new Contact or View/Edit an existing Contact.
  • Use free-format address and other details to enter or edit a contact's details.
  • Contacts can be viewed in several formats, including the 'business card' view shown here.
  • Email directly from a contacts 'business card'. Simply click the email link on a contact's business card and their email address will be retrieved automatically.
  • SMS directly from a contacts 'business card'. Click the SMS link on a contact's business card and a small pop-up form allows you to enter the text of the SMS. The SMS can optionally be marked as being sent from the mobile phone of the logged-in user.
  • Create a corporate-style letter to a contact simply by clicking the letter link on the business card. The letter writing module creates a PDF document for accurate printing and long-term document storage.
  • Attach notes to a Contact's record. Any member of your team can add notes to a contact's record. This is widely used to record meetings and conversations and rapidly builds a comprehensive picture of all interactions between your team and the contact. As with all information in HQ, these notes are automatically text-indexed and made available for rapid searching.
  • Lookup maps and satellite location information directly from the card by clicking the map button on any card.
  • All interactions between your team and any contact in HQ are stored by date and the name of the team member who made the communication.
    Contacts can be assigned to one or several categories. For example, the the categories 'HQ' and 'Prospect' might be used to differentiate a contact from 'HQ' + 'Client'.
    All information about a contact is automatically text-indexed by HQ and is available for rapid searching through the HQ search facility.
