HQ Email offers all the key features you need in a modern email system including multiple email accounts, folders, and sent, deleted and junk item lists. The email module also features an automatic SPAM rejection system enabling you to filter waste from your inbox. Supporting the HQ concept of team working, even emails received and sent by your organisation can be shared with others. This is a fantastic resource and allows emails to be indexed and added to the list of documents stored in HQ that can be searched quickly and easily. Where you have an email that could be of interest to a project or members of your team you can simply make it ‘public’ with the click of your mouse. And like other elements of HQ, where emails need to remain private then that’s simple too. Another click and the email can be marked ‘private’ ensuring you’ll be the only person who can retrieve it. Email templates can be created to give a corporate look and feel to your communications. Email addresses are also added directly from the HQ Contacts database saving you time and effort when sending mail.

Email Features

  • Create one or several email accounts for each user in HQ.
  • Compose emails based on definable templates.
  • Use a different template for each of your email accounts.
  • View received, sent or temporarily deleted emails.
  • Send email to one or many contacts using standard To,CC, BCC fields. Email addressees are added directly from the HQ contacts database and are retrieved using the same search mechanism found elsewhere in HQ. Find contacts by any piece of information stored in their record (name, city, telephone, favorite colour - anything).
  • Delete an email. This function simply sends emails to the Deleted Emails folder from where it can be 'undeleted' later. The mail cleaning system will automatically remove 'deleted' emails after two weeks.
  • Create, rename and delete mail folders.
  • Move emails between folders using drag and drop.
  • Undelete emails.
  • Make emails Public. Emails can be shared and made available to all members of the user's team.
  • Mail is collected by HQ from one or many POP3 email accounts per user and automatically text indexed for extremely rapid searching. Email searching is fully integrated with the main HQ search facility. Mail is sent via an SMTP server (often at the user's ISP).
  • Email is assumed to be SPAM when it originates from a known spammer. For every email received, HQ checks its originator against the international SPAM databases known as SORBS and SPAMHAUS. Email considered by to be SPAM is put into the Junk Folder. To avoid SPAM detection for a particular email sender, simply add their name and email address to your contacts list. This SPAM detection is in addition to any offered by your ISP.
